The Rental Process

From first quote to final pickup — here is exactly what to expect when you book with Zoe Event Rentals.

We run the same process for every event — 30 guests or 2,000 guests. It is clear, it is repeatable, and it is designed so you always know what comes next.

Our Process

Five Steps From First Call to Final Pickup

Consultation

Share your event date, venue, guest count, and vision. We talk through what you need and what you should be thinking about — floor plans, delivery windows, and any venue-specific constraints we already know.

Proposal

You receive a line-item proposal within 24 hours — every item, every color, every quantity, and all fees itemized. No mystery line items and no verbal estimates.

Booking

Approve the proposal, sign the contract, and place a 50% retainer to lock your date. The balance is due 14 days before your event. Changes to quantities are welcome up to 7 days before delivery.

Delivery & Setup

Our crew arrives within your agreed delivery window and installs everything per your floor plan. Setup, placement, and final adjustments are included when selected. You walk into a finished space.

Breakdown

After the event, we return for a full teardown. Everything we delivered leaves with us — chairs, tables, linens, lighting, staging, and decor. The venue is left clean and ready for the next turnover.

Common Questions

Questions We Hear Most Often

How far in advance should I book?
We accept reservations up to 24 months out. Peak season (May through October) books fastest — we recommend securing your date as soon as your venue is confirmed.
Can I make changes after I book?
Yes. Quantity changes are welcome up to 7 days before delivery. Additions are subject to availability, and we will always let you know in advance.
Do you deliver outside the DMV?
Our core service area is Washington DC, Maryland, and Virginia. We deliver outside that footprint for select events — ask us.
Is setup included in the quote?
Delivery is included. Full setup and breakdown are available as an add-on and will be itemized separately in your proposal.
What happens if something breaks during my event?
Normal wear is expected. Damage beyond normal use is covered by the damage waiver included in your contract. We do not charge for items we break in transit.
Can I see items in person before booking?
Yes — showroom visits are available by appointment for clients planning larger events. Let us know when you submit your quote request.
